- Login as an Admin user
- Navigate to Auction-Add Auction.
- Complete the Add Auction form. All bolded fields are required. Make sure the Auction End date matches the Session End date. If using multiple sessions, make sure the Auction End Date matches the End date of the last session of the auction.
- If using bulk uploading, make a note of the new Auction Id after pressing the submit button you will need this for the inventory upload spreadsheet. This will not be needed if adding inventory manually as in step 5.
- How to upload inventory one item/lot at a time:
- Go to Inventory-Add Inventory.
- Fill in required fields (most of the required fields will be in bold font):
- Application: Will always be Auction.
- Auction: Make sure to select the correct auction in the drop-down menu so that your inventory is added to the proper auction.
- Session: Keep as Session #1 unless you create an auction with multiple sessions.
- Lot #: Leave blank for system to generate once inventory data is saved.
- Serial #: Leave blank for system to generate once inventory data is saved unless you have system configured for you to create your own serial numbering system. If using your own serial numbering system, then enter the serial number in that field.
- Category: Press ‘Select Category’ to display the pop up window with your categories to pick from. The category will be a number (Ex: ‘1’ means ‘All”).
- Title: Title of the item being added.
- Description: While not mandatory, I recommend you add a description. The ‘Easy Editor’ button next to it will allow you to create a description that isn’t simply text.
- Min Bid: (This is required despite not being bold font on the page) The starting bid amount- enter only whole numbers without dollar sign or decimal (Ex: Fifty dollars should show as 50, not 50.00 or $50 or $50.00).
- Add your lot images on this page; you can add up to 20 images per lot.
- You may add in other areas as you wish on the inventory page, but these are the required/recommended areas.
- Select ‘save’ if you are entering only one item for now. ‘Submit and Add Another’ will take you to a new inventory page so that you can add a new item. ‘Submit and view’ will allow you to see it as it will present on customer facing side. ‘Copy’ will duplicate the information onto a new inventory page so if you have multiples of the same item you do not have to type in everything again.
- Once you have added all your inventory along with the images, your auction is ready to roll! You have no need to continue to step 6 and 7 unless you are planning to bulk upload additional inventory for the same auction.
- Go to Inventory-Add Inventory.
- How to bulk upload inventory with spreadsheet:
- Follow steps 1-4 (top of page).
- Fill in the required columns:
- Application: will always be “1” for auction.
- Auction ID: the number that was given when you made your auction in step 4.
- Category: the number from your category report under config-config global (Ex: 1=’All’ category).
- Lot Number: Start with “1” and go in numerical order.
- Min Bid: The starting bid amount- enter only whole numbers without dollar sign.
- Title: Title of the lot being added.
- Image: while not required, go ahead and do that too. Make sure the image name in the spreadsheet matches what you named the image that is going in the FTP folder. Example image name format would be ‘auction id_lot number’, so if there are 3 images for lot 1, you can name the images 1_1, 1_1a, 1_1b in the spreadsheet image columns. You could also just name the images after the lot number so that the image names are simply 1, 1a, 1b. Completely up to you- just be consistent with your naming system.
- You can add beyond the required fields/columns in spreadsheet, such as description, consignor, etc. Follow the format provided in the document titled “Inventory Fields”.
- Save the spreadsheet and close it.
- Login in as an Admin User as shown in very first step.
- Navigate to /uploadinventoryss.aspx (url will appear like so):
- Browse for your upload spreadsheet file.
- Click Upload. If any validation messages appear, correct the data in the spreadsheet and re-upload. Lots will not be stored until all pass validation. If you are unsure of the error, screenshot it and send the error to our helpdesk.
- How to bulk upload inventory images with FTP program:
- Have a folder on your desktop with the images for your auction. Make sure you have all the images in that folder named and that those image names match what you entered into the spreadsheet. The images will need to be a .jpg extension until we get the new image uploader onto the site. Paint.net is a free image edit program that allows you to change the file type https://www.getpaint.net/download.html
- Open FTP Program (WinSCP, FilleZilla, etc) and transfer the images folder from your desktop to your UserUploads folder.
- FTP UserUploads login info:
- UserUploads
- File Protocol: FTP
- Encryption: No Encryption
- Host name: 67.212.161.58
- Port number: 21
- User name: (you should already have this information)
- Password: (you should already have this information)
- Login in as an Admin User as shown in very first step.
- Navigate to /movepictures.aspx
- The picture directory is the name of the folder with your images.
- You cannot change the Picture extension, the images must be jpg
- Press Submit to move the lot images from the ftp folder to the item images folder.
- If the page times out or anything like that, do not fret. The image transfer should continue. Do not refresh the page or start the process back over.
